Robins & Morton is looking for a Field Office Assistant to contribute excellent organization and coordination skills to our project teams.

We’re looking for a self-motivated, detail-oriented and collaborative candidate to assist the Project Superintendent and Project Manager with facilitating a coordinating their responsibilities.

Schedule / plan/ coordinate business meetings.
Type correspondence, purchase orders, owner change orders, reports, etc.
Create Expense Reports.
Maintain and balance checkbook for petty cash account.
Assist with processing pay applications, invoices and purchase orders.
Setup weekly reminders on calendars for repetitive items (Pay Applications due, OAC Meetings, Safety Lunches, etc)
Assist in receiving and preparing subcontractor Applications for Payment.
Assist with processing pay applications and field purchase orders.
Assist in preparation of project closeout documents.
Gather all PSRs for projects under Sr. PM and prepare for review by Sr. PM Monthly.
Assist in tracking and expediting: Submittals, RFI’s, Materials, RFP’s, RPC’s Subcontracts, PO’s, CO’s Insurance and Bonds.
Prepare owner billing for Superintendent and Project Manager’s approval.
Handle telephone calls from Clients and Vendors.
Assist subcontractors and vendors with Textura process and keep required Textura Documents up to date.
Process all time cards for job site, making sure they are properly coded and to Payroll in a timely manner.
Assist in maintaining: Purchase Order Log, Material Status Log, Submittal Status Log, RFI Log, Change Order Log, Proposed Change Order Log.

Associates Degree in business is preferred. High School diploma (or equivalent) is required.
A minimum of one (1) year experience in an administrative assistant or secretarial role required. Previous administrative experience with a construction, architect, or engineering firm preferred.
Ability to speak and read English required.
Ability to also speak and read Spanish preferred.
Ability to comprehend documents such as safety rules, operating manuals and Policy & Procedure manuals required.
Excellent computer skills required. Proficiency in Microsoft Word, Outlook and Excel programs is required. Proficiency in Microsoft Access and PowerPoint preferred.
